January 16, 2017 6:30-9:30 pm at the Ministry Center
Present: Steve Abramowski, Jason Seiberlich, Jim Vogel, Jay Justmann, Jeff Guenther, Ron Takacs, Wes Andersen, Pastor Ben, Pastor Bill
Our meeting began welcoming new team members Steve and Jason. Together we turned our attention to God’s Word in Psalm 103 where the Psalmist encourages us to “forget not” the LORD’s many great “benefits” such as forgiveness, healing, redemption, and every good thing which He knows we need. The Psalm also compares God’s love to the love of a good father. We discussed, based on the Psalm, how parents are to emulate God, and came up with a list of what we as fathers can learn from our Heavenly Father: being slow to anger, abounding in love, respected/feared, compassionate, encouraging, satisfying desires with good things and not harmful things, etc.
After prayer, we highlighted Victory Stories including awesome Christmas Eve services attended by almost 500 people. This led to a conversation about Christmas 2017 where Christmas Eve happens to fall on a Sunday. Our initial thought would be to have worship services that day at our regular times of 9 am and 10:45 am and then add one additional service in the afternoon, perhaps at 2:30 pm or 4:30 pm (depending on the football schedule) so as to reach the community. We would then have all the services on Christmas Eve be the same since it would be too taxing on all our volunteer teams to prepare two sets of services on Christmas Eve. We would have one Christmas Day service the following morning like we did this year. That would be a different service than Christmas Eve. Pastor Ben will take this to the monthly staff meeting for any further discussion.
Jim Vogel, our Treasurer, gave year end updates on our current financial status. He is preparing a financial communication to share with the congregation. In short, we acknowledge that God has provided for us through his grace and the rich generosity of our members and attenders. We’re in good financial shape heading into 2017. A couple things to note. We’re about 8K short of projected offerings for FY16-17 half way through the fiscal year. We need $5,865 / wk. We’ve been receiving $5,559 / wk. That said we’ve also underspent our budget and have seen an uptick in offerings recently as attendance has increased. We also currently have a surplus of 52K in the general fund from past years of wise stewardship.
We have 83K in the land/building account. 40K of this is allocated to sanctuary art and furnishings. 3K is allocated to carpet the VK hallway. A decision made to set aside 10K for additional landscaping needs come spring. That would leave us with 30K to potentially pay down the member loan of 82K for the Limmer parsonage or we could allocate some of that money towards the parking lot fund to finish the top layer of asphalt. After a lengthy conversation, a decision was made to wait till spring to evaluate the condition of the parking lot after the winter before deciding to pay back the member loan or allocate some of those funds to the parking fund.
Pastor Ben had asked everyone on the Leadership Team to complete an online personality test that then served as the basis for a conversation about how God has wired us and how we can best work together as a team. We also discussed the intent and goal at our next meeting of deciding oversight roles for 7 areas of ministry (Worship, Outreach, Discipleship, Fellowship, Volunteerism, Properties, Generosity/Finances). Necessary official offices were voted on with the results that Jeff Guenther was voted President, Ron Takacs – Vice President, Jim Vogel – Treasurer, Jay Justmann – Secretary. It was mutually agreed that Jason Seiberlich would work with Jim Vogel to begin learning the aspects of church Treasurer including participating in the more detailed work of planning next fiscal year’s financial ministry plan.
Pastor Ben was advised that we need to clarify the procedure for what happens when the security alarm goes off. Currently there are 5 people who receive calls from the monitoring service. There have been no break-ins. However, the alarm has been accidentally triggered on multiple occasions resulting in phone calls from the monitoring company. We will seek to clarify the procedure for all involved. Ron Takacs also volunteered to contact our security company to look into getting 2 additional cameras.
An update was given on Cody who fell and required medical assistance on January 15th. Many thanks to all who responded to help and show love. As a Leadership Team we then discussed wanting to improve our emergency response procedures in general. Ron will be purchasing an emergency medical kit. We will also look into purchasing an AED device and seek appropriate training for key volunteers.
Pastor Ben reported that we will be having soccer camp again this summer. Dates in June pending Polonia Soccer Club approval. We will also be having a one day Easter for Kids outreach event on Saturday, April 8th. Stay tuned for more info from Cassy Robbert who has agreed to help organize these kids outreach events.
